The virtual industry boom has propelled the growth and scope of executive assistant jobs as a career choice.  In the online industry, it is the virtual executive assistant who has a crucial role in the management of the company, by acting as an excellent support system and help to the people who run the virtual business.

Though we think that the executive assistant’s job description is all about office management, supervisory tasks, customer handling in a traditional office, the definition has extended to the online world which is increasingly dependent on these specialized services particularly if the business is small or medium sized.  

Here is the executive assistant job description broken in points:

  1. The online executive assistant has to maintain dates and schedule of different meetings to do and tasks to perform.
  2. He is a point of contact between the owner of the business and people who work for him, between clients and the business.
  3. His job includes assisting the clients and customers with presentations and information on a particular project. He has the responsibility to mail information, prepare project reports and generate time lines for effective completion of projects.
  4. The executive assistant has to answer calls by concerned parties and provide a satisfactory solution while at the same time, making sure that it does not go against the interest of company’s ethics and way of working.
  5. Be a representative of the company in various meetings, seminars and conferences. 
  6. Be a party in the decision making process, giving enough reports and research material to the company head or management so that the decision making and agenda could be drafted in a seamless manner.

Maintaining records: Since the executive assistant job description is all about maintain records and profiling, he should see to it that files are kept in an organized manner, adequate back-up is taken and all project reports and data completion reports are organized in a logical order.

When you hire a person, to make sure that he suits executive assistant job description, you have to see to it that the person at least has a bachelor’s degree in subjects pertaining to business administration. Most companies need that the person who is to be selected has substantial amount of work experience.

Though this is your personal choice, you can also go for fresher who are good with online surfing skills and are proficient in organizing data online  and can work effectively with excel, PowerPoint, word and other data based software.  You can also choose someone who has a diploma in business management but it is always better if the said person is good with computing skills.

Though executive assistants can work for more than one employer if they are working online, you should make them digitally sign a contract which forbids them by talking about the nature of work they do for you to any other client or customer. Incidentally, the International Association of Administrative Professionals (IAAP ) is a professional body in the US for the executive assistants (EAs) and administrative assistants (AAs), that gives certifications to professionals who aspire to take up a career in this field.

Virtual assistants are quickly becoming in high demand. However, the one drawback that I have seen is in validating the potential employer's credentials as often times, they are an internet based company that does not have a physcial office to inspect. In the online world, the consumer (or in this case, the assistant) must be aware of who she is working for and all legalities associated with the arrangement. You've provided good advice and heads up info.
